VILLAGE OF ORFORDVILLE

Regular Board Meeting

Monday, March 8, 2021  7:00 P.M.

CALL TO ORDER

                Village President Gary Phillips called the meeting to order at 7:00 p.m.  Present were President Phillips, Tina Suiter-Meyers, Beth Schmidt, Terry Gerber, Jason Knox, and Nikki Tuffree via Zoom.   Also present were Zach Knutson, Librarian Sarah Strunz, DPW Director Nick Todd, Chief Brian Raupp, and Clerk Sherri Waege.  Absent was Chuck Boyce.

AGENDA VERIFICATION

                Clerk Waege verified that on March 5, 2021, copes of the agenda were delivered to the President and Trustees; and posted at the Village Hall, Library, and the Orfordville Post Office. There were no additions made to the agenda.

MINUTE APPROVAL

                Motion by Knox, seconded by Schmidt to approve the February 22, 2021 minutes. Motion carried.

CITIZENS WISHING TO BE HEARD

                None.

UNFINISHED BUSINESS

                None.

NEW BUSINESS

                Planning Commission Recommendation for Final Plat Approval for Mill Valley Subdivision.   Zach Knutson was present and explained that the final plat is the same as the Preliminary Plat, there were no changes.  Motion by Suiter-Meyers, seconded by Gerber to accept the Planning Commission Recommendation to approve the final plat for Mill Valley Subdivision.  Motion carried.

                Resolution R-2021-02 Segregation of Duties.  Clerk Waege explained that the new audit firm recommended that we have a documented plan to define steps taken for financial transactions for the Village. Motion by Gerber, seconded by Suiter-Meyers to adopt Resolution R-2021-02 defining Segregation of Duties.  Motion carried.

DEPARTMENT HEAD REPORTS

                Chief Raupp explained that President Phillips contacted him regarding the Police Department monthly report which is now combined with the Village of Footville.  Chief Raupp explained that President Phillips requested something that shows the hours spent monthly in the Village of Footville.   Chief Raupp explained that he will add a summary at the end of his report that shows monthly and year to date hours spent in the Village of Footville.  Motion by Gerber, seconded by Suiter-Meyers to approve the Department Head Reports.  Motion carried.

VOUCHERS

                Motion by Gerber, seconded by Knox to approve the vouchers for $40,158.16 which includes checks 32953, 32969, and 32971-32994.  Motion carried.

ADJOURN

                Motion by Knox, seconded by Suiter-Meyers to adjourn at 7:22 p.m.  Motion carried.
